The client is in the process of designing and standing up an overarching Knowledge Operations (KO) vision. The key concept of KO is that all data and collaboration based tools are integrated into one overall solution. The proposed solution combines the existing Microsoft Office SharePoint Server (MOSS) 2007 Standard Edition with the IBM FileNet P8 required components (content, records and business process managers to include connectors for SharePoint web parts and document libraries and content collector for email and a classification module). This will allow all users to understand how to obtain, store and collaborate on all content created with KO tools to complete their job in a repeatable manner. The client is using IBM's FileNet P8 software for content management and auto-categorization of emails for records declaration. P8 is being installed and configured to work with SharePoint. The client now has a requirement to finish the installation of P8, validate that the target environments are prepared and configured properly, assist in using P8 as a content management tool and train ACC technicians in the long term sustainment of P8.
• Evaluate current MOSS and P8 infrastructure and work with staff to adjust and redesign to fit the overall goals of the KO vision. • Install server(s) and associated hardware in rack space. • Install the Operating System and all patches to include running I-NOSC and Defense Information Systems Agency compliance checks. • Configure P8 to work with our current SharePoint instance. • Document technical design of software. • Code, test and install software components. • Assist in configuration/design prototype, test, pilot, and implementation based on identified and agreed upon requirements. • Assist associate Software Developers as needed. • Attend Government held quality events to meet with key experts to determine the best way to use the P8 tool and meet with the same or similar experts periodically to access the performance of the tool in providing records management. • Assist in implementing a Records Management solution in P8 that will maintain synchronization with the current Records Information Management System. • Review and analyze business requirements and functional requirements, taking into account existing research, prototyping efforts, and proof-of-concepts as needed. • Understand and translate user interface and business requirements into implementation plan. • Participate in design reviews to ensure the design will meet business requirements. • Develop training materials/checklist. Train key stakeholders/users. • Work with staff and partner organizations to facilitate role distinctions in the command in regard to P8 support. • Train staff for hand-off of the entire P8 tool use and sustainment. • Provide updates/briefings verbal/written/etc) regarding current status of issues within assigned area of responsibility to include applicable documentation. Document formats include but are not limited to (Bullet Background Paper (BBP)), Memorandum for Record (MFR), Staff Packages and PowerPoint slides. • Attend staff meetings, conferences, etc and prepare written weekly progress reports. • Stay knowledgeable of new directives and technologies as appropriate.
